ERP program update – February 2018

Evaluation Preparation

Since our last update the project task force has been very busy preparing all the materials required to fairly and effectively evaluate the responses from potential vendors. These materials include the specific scenarios we will ask shortlisted vendors to show us during demonstrations, and detailed rubrics for how we will score responses to the written submissions regarding business and technical requirements, and the vendors’ experience and qualifications.

 

Negotiated Request For Proposal Posting (NRFP) and Responses

The NRFP was posted in December, and closed on January 31st. We are currently reviewing responses from the prospective system implementers and software firms to assess whether or not they meet all the mandatory requirements, before they can proceed to the next phase of evaluations. For the solutions that pass that first test, five evaluation committees, made up of a total of more than 40 different people from across campus, will review the responses to see how well they meet our organizational and technical requirements. That process will take up much of the next six weeks, with the goal of identifying by the end March which vendors to invite to participate in demonstrations in April.

 

Employee Lunch and Learn Sessions

As we shared in previous updates, we have been presenting to various committees on campus and meeting with different stakeholder groups to let them know about this project. To ensure all employees have an opportunity to learn about this important initiative and understand both the future benefits the new system will bring, and the hard work and changes ahead of us to get there, the Task Force is holding Lunch and Learn sessions open to all employees:

Wednesday, February 28, 12:30 pm–1:30 pm – Employee Lounge
