Canada Post guidelines and restrictions for mailouts

Langara College Mailroom processes over 100,000 pieces of mail each year that includes regular/oversized local and international letters, small packets and parcels.

In order to have outgoing mail posted promptly and efficiently, please follow these package specifications:


  1. Use elastic bands to bundle stacks of mail together for easier handling
  2. Seal all oversized envelopes that are greater than the regular standard size of 24 cm (9.5”) x 10 cm (4”)
  3. Address labels on all envelopes (oversized and regular standard size) must be positioned horizontally
  4. All mail must have the department name written on the outside of the envelope
  5. Items sent to the US and international locations require a description of the contents and value in order to be processed
  6. And lastly, please separate the mail according to Domestic, USA and International addresses

Large Mailouts

For large quantities of outgoing mail (100 pieces and over), please note the package specifications above and the guidelines below:


Please advise us at least 2 weeks in advance of any large quantities of outgoing mail by emailing

This step is recommended as it will give us some time to work out the details necessary to process your mail out.

In the email, please indicate:

  • Expected date the mail will be delivered to the Mailroom
  • Approximate number of pieces to be mailed out
  • If large amounts of supplies are needed, please notify us 2 weeks in advance and specify:
    • Which type of supplies (e.g. envelopes, letterhead, transparent tape) are required
    • Quantity needed

Please be advised: should you need any supplies that are not on the Office Supply Request list please see Purchasing.

For any type of mail out including oversized and irregular sized mail, please contact Facilities staff for assistance to meet Canada Post restrictions and guidelines such as:

  • Weight and
  • Size restrictions

A sample of the item to be mailed out should be provided beforehand to ensure it can be processed.

Please note: if proper notice is not given for mass mailings, and outgoing mail is not prepared in accordance to the instructions above, this will result in delayed processing or items being returned back to Langara College.
