Recap: Workday@Langara September Events

With the go-live for Wave 1A of Workday@Langara less than four months away, it was great to see nearly 200 people at our two events last week. Thanks to everyone who came and here’s a recap for those who missed it.

Open House

In his opening remarks, President Lane Trotter spoke about the many changes happening at the College this fall and why upgrading our systems is important and necessary.

Project Director Dorothy Paukste updated everyone on the progress of our project team and their busy summer of testing our Workday configuration. Erin Anderson shared an update on behalf of the organizational change management (OCM) team on what the transition to Workday would look like for faculty and staff as well as planned activities for the fall. Director of Operational Excellence Tom Majek gave an overview of the plan for training as well as support for go-live and long-term sustainment.

Next, our workstream leads for HCM (People and Culture) and Finance shared some of the major changes coming in their areas and some of the benefits faculty and staff can expect for Wave 1A. Michael Koke, Finance lead, talked about the changes to budget structure, the ability to track requests in Workday, and the search functionality. Karen Hackett, HCM lead, explained how delegations work in Workday, how absences and leaves are managed, and the increased visibility for faculty and staff on their own data as well as teams and organizational structures. Erin Anderson came up to demo two processes: submitting a purchase requisition and applying to a job posting as a current employee through the new internal job board.

John Wong, our Technical lead, explained how Workday and Banner would work together once Wave 1A goes live and what key information would be shared between the systems as well as some of the key integrations with our banking, credit card, benefits and office supplies providers.

For our Q&A with Project Leadership, audience members were able to submit questions live and online. Moderator Tom Majek shared their questions about sick time reporting processes, how notifications worked in Workday, cost centre approvals and more. The event wound down with our breakaway sessions, where faculty and staff could speak directly to each of the four workstream teams.

Faculty Coffee

At the Faculty Coffee in the morning, Ben Cecil spoke about work done by the academic core team on the project and the consultation done over the past several months. He also acknowledged how challenging it can be to leave a familiar system as well as the need to modernize our academic and administrative processes to enable Langara to sustain its operations going forward.

Project Dorothy Paukste gave an update on the project and the training plan. Ryan Cawsey, Dean of the Faculty of Management, gave an overview of the changes coming through the transition to Workday for faculty specifically. John Boylan gave a demo of what a faculty member’s profile would look like and how they could see their academic appointments as well as submit sick time. Both John and Ryan than took questions from faculty and explained how some system decisions were made.
